Could ACT! Secondary Contacts Keep Your Secrets?
These days keeping “usernames” and “passwords”, along with the website login address, for all of my accounts is challenging to say the least. Going paperless is certainly a great idea but keeping track of how to log in to see my statement (instead of just opening the envelope) is becoming frustrating. Of course it’s not prudent, and sometimes not even possible, to use the same password for each account so how do you manage it all whilst managing to keep hold of your sanity!!

Do You Need Another ACTivity Type?
Why would it be useful to keep track of activity types other than the 5 basic types that come with ACT! by Sage?
Well if you would like better visibility of specific types of activities then Custom Activity Types may just provide the solution. You can use this valuable feature to create your own specific types of activity such as Sales Calls and Service Calls. You can filter the Calendar or Task List to show specific activity types (even the custom ones). You can filter the Activity or History tabs on the Contact record to only display specific custom activity types. You can also create a report based on specific activity types. The possibilities are endless.

Annual Events – Never miss another renewal (or Anniversary)
Do you have agreements or contracts that need renewing on an annual basis. If so you can create an “Annual Event” field to store the renewal date (Figs 1 – 3).

Uniformity – The key to successful Segmentation
The data you hold in your ACT! Database is incredibly valuable if you use it properly. By far the best way to market to your database is to do so in a properly targeted manner and to achieve that you will need to be able to accurately segment your data.

Duplicating a Contact
In many cases we will have more than one contact working for the same company. A prime example of this is if we are operating a multi user version of ACT! and we are entering the users of the database. Each contact will have the same Company Name, Address, Phone, Website and other duplicate values.

Editing E-mail and Website Addresses
I have been asked the question many times “How do you edit the contents of e-mail and website addresses?” since attempting to click in the box creates a new e- mail or opens up your Internet Browser (Fig 1).

Salutations
Many customers have asked me about the “Salutation” field and what it is used for. Basically, “Salutation” is what appears immediately after “Dear” at the beginning of a letter.

Resizing the Contact Record Screen
If you have a lot of information in the bottom half of the Contact Record, such as Custom Fields or a large number of Notes or Histories, it is useful to be able to resize the screen to show more of the bottom half in one go.

Shortcuts
Many users prefer to use the keybard to perform functions rather than the mouse. When you use menu options the program displays any associated shortcuts. (Fig 1)

Need more width
ACT! 2010 features a context sensitive menu structure down the Left hand Side of the program. This menu can be collapsed in order to gain more horizontal space by using the Double Arrow which can be found at the top Right Hand Side of the menu (Fig1)
